HealthPro Pediatrics has an exciting opportunity available for a full-time ABA Care Coordinator for our outpatient, pediatric clinic in Plymouth, MA! The overall role of the ABA Care Coordinator is to oversee and implement all aspects of client intake and onboarding. This position does operate in-clinic and starts at a yearly salary of $40,000 that goes up based on experience!

· Manages and monitors all referrals & inquiries in CRM and/or EMR
· Receives and disseminates all client specific information to Center Directors
· Handles all client related communication specific to onboarding, assessment scheduling and ongoing therapy
· Ensures client hour fulfillment
· Maintains a flex work schedule that permits for responding to parent or employee questions, concerns, and scheduling updates outside of normal business hours
· Notifies Center Director’s team daily of any open intakes or client interest
· Maintains, monitors and tracks all intakes from submission to receipt of services
· Answers and manages any intake calls
· Maintains active and updated waitlist per state as well as clients in progress
· Faxing copying, scanning intake paperwork
· Maintains face sheets for all clients
· Works directly with BCBAs and Center Director to efficiently onboard clients
· Assists with the orientation and basic policies with clients to ensure adherence to policies.
· Schedules all new hire/client’s schedules to accommodate availability
· Monitors and maintains EMR to ensure compliance and completion of all appointments
· Handles all cancellations and rescheduling
· Notifies leadership team weekly of any open client availability-e.g. staffing concerns
· Adheres to inclement weather policy and sick policy-notifies all parties of cancellations
· Responds to emails in timely manner to ensure any scheduling changes are handled properly and all parties are notified (BCBAs, Therapists, Families)
· Ensures all appointments are completed in a timely manner with notes completed
· Communicates with clinical staff if incomplete or out of compliance
· Maintains scheduling and inquiry metrics weekly (including but not limited to cancellations, hour fulfillment, hours authorized, inquiry and conversions etc.)
· Assumes duties and responsibilities that may not be listed above in order to maintain the dignity, safety of those that we serve and the integrity of the services that we provide.
· Minimum of High school equivalent or higher.
· Minimum of one-year administrative experience
· Proficient in Microsoft Word, Excel, Publisher
· Ability to multitask
· Efficient problem-solving skills
· Must possess excellent organizational and time management skills.
· Exceptional communication skills are also necessary
· Preferred candidate will have the ability to accomplish both individual and team goals
